How to print using the university printers from a university-owned computer

This article explains how to print your documents from a university-owned computer.

This article is for staff and students using computers managed by iSolutions. Staff and students can print using their own devices following the article "How to print using the university printers from your own device (BYOD - bring your own device)".You do not need to follow this article if you are using: 

  • A "public work station" (computers in a teaching space)
  • A university-managed computer with a name like UOS-number (for example: UOS-1234567)

These computers have the printer queues automatically configured. Printers are called BlackWhite and Colour on staff.myprint.soton.ac.uk or student.myprint.soton.ac.uk

If you need to print Braille documents, contact ServiceLine. Our technicians will help you setting up your computer to use the University's Braille printer.

 

 

Printers available

We offer two types of printers:

  • Multi-Functional Devices (MFD). Using a Multi-Functional Devices (MFD) you can print, copy and scan.
  • Smaller non-MFD models ("desktop"). Non-MFD printers allows you only to print documents. You can print using Windows, Apple macOS, or Linux computers.

Installing the printer

Windows users

Installing Multi-Functional Devices (MFD) printers

University managed computer with a name like UOS-alphanumeric (for example: UOS-A1B2345)

You will need to add the printers from the  Software Center by installing "Add University Printers". You can do it while on site or connected to VPN.

You can install University printers to your computer by selecting the Software Center icon from:

  • Your desktop
  • The Programs Menu

Instructions:

1. Open the Software Center

2. Type "printer" into the search filed

3. Double click on the Add University Printers icon. You can select both BlackWhite and Colour printers

Staff not using a University managed computer (for example bespoke machines)

1. Type \\staff.myprint.soton.ac.uk into the Windows search field

2. Select the Open link or on the computer icon. A new window will appear

1. Type \\staff.myprint.soton.ac.uk into the Windows search field

2. Select the Open link or the computer icon. A new window will appear:

Apple macOS users

Installing Multi-Functional Devices (MFD) printers

1. Connect to the university network via cable, Eduroam or VPN

2. In a web browser go to the site https://uniprint.soton.ac.uk/

3. Select Download



4. Double-click on the .dmg file downloaded

5. Double-click on the .pkg file

6. Agree to the terms of the software license agreement

7. Select Install

8. If requested, please allow Installer to administer your computer

9. Close the window at the end of the process

Installing a non-MFD printer

1. Open System Settings (called "System settings" on Apple macOS Monterey or older versions)

2. Scroll down to Printers & Scanners

3. Select Add Printer, Scanner or Fax…

4. Once opened, right-click on the tool bar on top and select Customise Toolbar

""

5. Drag the Advanced icon to the top of the toolbar and select the Done button

""

6. Select the Advanced option and input the following options from the drop-down menus:

  • Type: select the option Windows printer via spoolss
  • Device: Another device
  • URL: enter smb://staff.myprint.soton.ac.uk/PR-ID###### (For name you can use the PR-ID number and location).

7. For the “URL” address please use smb://staff.myprint.soton.ac.uk/PR-ID###### (For name you can use the PR-ID number and location).

Notes

  • "Generic PCL Printer" may take a few minutes to show on the drop down list
  • Please remember to double check the username. Mac’s have local accounts, so you will need to change the username to your university username (the username appears at the beginning of your university email in the form of ab1cd22, for example ab1cd22@soton.ac.uk) to print.

Computers using Linux have the printer queues automatically configured. Printers are called BlackWhite and Colour on staff.myprint.soton.ac.uk

Printing your documents

Windows users

There are 2 ways to print documents:

 

Print directly from your file using the Print function

1. Connect to be the university network via cable, Eduroam or VPN

2. Open your document

3. Select File and then Print

4. Chose the printer ("BlackWhite" or "Colour" or the "PR-ID12345) and the setting you want

5. Select the Print button

 

Apple macOS users

There are 2 ways to print documents using macOS:

 

Print directly from your file using the Print function

1. Open your document

2. Select File and then Print

4. During your first print you will have to insert your username (for example: abc12de22) and password. You can chose to remember them so you do not have to insert them again in the future

Print directly from the web portal myprint.soton.ac.uk 

Follow these instructions to print a document through the web portal myprint.soton.ac.uk (on any device or operating system) using a web browser:

1.Go to myprint.soton.ac.uk using a web browser (for example: Edge, Chrome, Firefox, Safari)

2. Insert your username (for example: abc12de22, not abc12de22@soton.ac.uk) and password, then select Log in

5. Select a printer and then select Print options and Account Section

7. Upload or drag and drop your file, then select Upload and Complete

8. You will see your printing queues as follow:

9. If you change your mind, you can stop the printing in queue. To do that:

  • Select Held in a queue
  • Select [cancel]

Printing a web page from a browser

Using Chrome, Edge, or Firefox

1. Go to the top-right corner of the browser and select one of the following icons:

  • On Microsoft Edge: the Settings and more icon ("Settings and more" icon on Microsoft Edge )
  • On Mozilla Firefox: the Open application menu icon (Application menu icon on Mozilla Firefox )
  • On Google Chrome: the Customise and control Google Chrome icon ("Customise and control Google Chrome" icon )

2. Select Print

3. Select More settings

4. Go to Paper size and select A4 or A3 Paper size drop-down menu

5. Check the other settings (for example, the printer or the layout)

6. Select the Print button

 

How to print a web page using Safari

1. Select File from the menu bar

2. Select Print

3. Select Show details

4. Go to Paper seize and select A4 or A3

5. Check the other settings (for example, the printer or the layout)

6. Select the Print button

How to print A4 and A3 papers

There are many ways to print A4 and A3 papers. You can do it using:

  • Microsoft Word or PowerPoint (for .docx or .pptx files)
  • Adobe Acrobat DC
  • A web browser like Chrome, Edge, Firefox, or Safari

Please note that you cannot print A3 papers from the portal Myprint.

How to print using Microsoft Word

1. Open your document

2. Select File or ctrl+P

3. Scroll down the menu on your left and select the right settings for:

  1. The orientation of the document (portrait or document)
  2. The format (A4, A3, …)

How to print using Microsoft PowerPoint

1. Open your document

2. Select File

3. Scroll down the menu on your left and click on Printer properties

5. Go to the Paper options section and select the right settings for:

  1. The original size
  2. The output size

How to print using Adobe Acrobat Pro

1. Open your file using Adobe Acrobat Pro. You can find guidance on downloading and installing the software in the article "How to download and install Adobe Acrobat Pro

3. Select the Page setup button on the bottom-left corner of the window

Large format (A1 and A2) printing

There are 3 HP DesignJet Z6 printers available on campus which print up to A1 on paper.

You can find them at:

  • Boldrewood, Building 176L room 1101 (School of Engineering, Design & Computing Studio)
  • Highfield, Building 25 room 1015 (open access CLS Computer Room)
  • NOC, room 23415

How to prepare an A1 and A2 for printing

MS PowerPoint is used for the majority of A1 poster creation. If you have not already been provided with an A1 portrait template to use in PowerPoint, follow the steps below to set up a new A1 document in PowerPoint:

1. Create a new presentation by selecting:

  1. File
  2. New
  3. Blank Presentation

2.  Select the Design tab

3. Go to the button 'Slide size' and select Custom Slide Size

4. Enter the paper dimensions, then select OK:

  • A1 papers: width of 59.4 cm and height of 84.1 cm. The slide orientation should be Portrait.

  • A2 papers: width of 42 cm and height of 59.4 cm. The slide orientation should be Portrait.

We suggest you treat 12 mm from the edge of the sheet as a "safety margins". We suggest this because:

  • Everything present in this space could not be printed
  • Any borders you add around the edge of the A1 area may not print. A white margins all around the sheet up to 12 mm wide could appear.

By adding the safety margins, you prevent texts and/or graphic elements from being cut off, or from being too close to the edge, which does not look nice.

How to print your file

1. Once your document is ready to print, you must go to one of the printing rooms and choose the correct printer from the 'Printer' list in PowerPoint or Adobe Acrobat.

Select the printer from the drop-down menu according to the room you are in:

  • PL-175-LVL01-D01, if you are in Boldrewood. If you find a printer called NPI47D222, please use this one instead of the PL-175-LVL01-D01.
  • PL-B25-R1015-D01, if you are in Highfield
  • PL-B68-23415-D01, if you are at NOC

2. Switch the printer on (if it is not already switched on) so the main screen display is visible. This screen will show the status of the print being received by the printer, when it is sent. 

3. Choose Print in PowerPoint or Adobe Acrobat to send the print.

Please be aware that your work will release immediately to the local large format printer. Students will be charged for prints which are processed by the printer.

Please note that printing A1 or A2 papers will cost £5 both for staff and students.

Collecting your documents

1. To log in: place your University ID card on the blue sticker you can see on the front of the printer or sign in with your username (for example abc1de22, not abc1de22@soton.ac.uk) and password

2. Select the document you want to print and press Print

3. You can print all your documents pressing Print All

If you need to delete any of your documents, select the file(s) to delete and press the red X

If you need to copy and scan documents, press Use Copier Functions.

Register your card if the printing is not working

1. Enter your university username (for example abc1de22, not abc1de22@soton.ac.uk) and password

2. Place your university card near the printer reader

 

Your card is now linked to your profile. You can use it for printing without logging again.

How to find the printer's PR-ID number

 You can find the PR-ID number of every MFD printer on a sticker attached close to the control panel.

Every sticker shows:

  • The Apogee logo at the top-left corner 
  • The university logo at the top-right corner
  • ServiceLine's phone number
  • The PR-ID number in the form of PR-IDxxxxxx (PD-ID293486 in the example below)

Error messages

When using any of the printers on campus it is important to view any notices or error messages which may need your action.

Notices or error messages will be highlighted with either a yellow or red icon on the top left of the screen.

 

To view the required action you will need to:

1. Log into the device using your ID card, or by entering your username and password

2. Press the User Copier Functions button and then OK

3. Press the Job Status icon

4. The action(s) required will be displayed (for example: Paper is low)

5. Action the request and you will release your prompt work.

Common issues

How to uninstall a printers on Apple macOS

To uninstall your printers:

1. Open System Settings (called System Preferences on Monterey and Ventura) from:

  • The Apple menu Apple icon (on your menu bar)
  • the Applications folder

2. Select Printers & Scanners 

3. Select the printer you want to delete

4. Select the button Remove Printer (if you are using Monterey or Ventura, select the minus (-) button)

5. Confirm your choice by selecting the button Remove Printer
