Common issues using PGR Manager

Common issues with PGR Manager are:

No access to your account

You can log in to your account going to https://pgrmanager.soton.ac.uk/do/southampton-login/login from any device. You do not need to be connected to the VPN to access PGR Manager: you can access from any device, at any time on any browser.

Suggestions for external supervisors or examiners, new students, and people using more than one university account

The most common scenarios are:

  • Be an external supervisor or examiner. In this case, click on the section "External supervisors and examiners" and use your email address to log in.
  • Be a new student. If you've enrolled and subscribed, you may have to wait for up to 48 hours before you access PGR Manager to allow time for your data to be synced across our systems.
  • Have more than one university account. In this case, follow the guidance on the article Logging in if you have more than one university account

What to do if you cannot log in

If you still cannot log in, contact your faculty graduate school office:

Your supervisory team is incorrect

If the name of your supervisory team is not correct, please ask your supervisor to amend it in PGR Manager.

They can do this following the instruction published into the article Confirming/ updating the supervisory team in PGR Manager - guidance for supervisors.

You do not need to contact your Faculty Graduate School office.

Your displayed user name is not correct

Names are picked up from Banner and imported into PGR Manager. If you have more than one first name, PGR Manager will currently only pick up the first of these names.

At present, there is no current functionality for you to select a preferred name.

Dates are incorrect on my PGR Manager timeline

If you notice that any dates are incorrect, contact your Faculty Graduate School Office and ask them to correct these. Their contact details are:

You cannot amend dates yourself.

Important: do not submit a progression review under the incorrect progression review. Adding incorrect information can make the issue harder to solve. There are different assessors for each review which are part of an automated workflow behind the scenes.

My workflow is on hold in PGR Manager

Your workflow can be “on hold” for two reasons:

  1. You have not yet joined your Research Group. Completing this step is mandatory in PGR Manager. If you need help to join  your Research Group, follow the SharePoint guide Research groups - guidance for students
  2. Your supervisory team is not correct. In this case, follow the instructions present within the chapter above Your supervisory team is incorrect
