How to return, reassign, or dispose of university-owned IT equipment

This article explains what to do if you need to:

  • Return university-owned devices to iSolutions
  • Return IT equipment such as monitors, keyboards, mice, or servers
  • Ask to reassign a device to another member of your staff
  • Dispose of an item

Return a device or a peripheral

You can return a university-owned device or a peripheral by:

  • Dropping it to the Tech Hubs,
    or
  • Requesting a collection.

If you need to return a device or a peripheral, you can visit our Tech Hubs and deliver it in person to a Tech Hub technician.

Request a collection

Any staff or line managers can request iSolutions to collect the item they do not need any more.

If you need to request the collection of a desktop or a laptop, please fill out the form "Return or reassign IT equipment".

If you need to request the collection of peripherals or other equipment (such as monitors, keyboards / mice, servers, mobile),  please fill out the form "IT Equipment Collection".

After receiving your request, iSolutions will arrange a visit with you to collect the equipment from your office.

What’s next

The device will be returned to central stores and rebuilt or refurbished. Once ready, iSolutions will deploy it again within the University.

Reassign a device to another member of your staff

Line managers only can request to reassign a device to a member of their staff when another staff moves on or leaves the University.

You can raise your request by filling out the form "Return or reassign IT equipment".

What’s next

After receiving your request, iSolutions will arrange a visit to assess whether the device needs any hardware upgrades.

If the device does not need any hardware upgrades, our technicians will:

  1. Clear the data saved in the device
  2. Reinstall Windows or the previous Operating System
  3. Reassign it to a member of staff or your choice

If the device requires any hardware upgrades, our technicians will discuss with you any available options.

Device repairs

If your laptop or desktop computer is performing poorly, this could be due to:

  • Components performances
  • Updates or other issues related to software
  • The age of the device

If you struggle using it, please:

Our technicians will investigate the issue and try to repair or upgrade it (if possible) to extend the device’s life.

Mobile devices will be repaired by trusted suppliers.

IT equipment disposal

University approach to Electrical and Electronic Equipment (EEE)

At iSolutions, we are committed to doing our part to make a positive impact on the environment.

The re-use of existing equipment is now a core part of our hardware policy:

  • We will now only provide new equipment for newly created roles
  • Whenever possible, we encourage new starters in existing positions to re-use equipment
  • If the equipment is unavailable or too old, iSolutions will provide a replacement which may not be brand new.

Peripherals (such as mice, keyboards, monitors and webcams) will be sourced from used stock where possible.

Any non-new equipment will have been thoroughly:

  • Cleaned
  • Refurbished
  • Performance-tested.

Equipment disposal and WEEE management

In 2023 the University signed a partnership with Stone Group, an electronic waste recycling provider based in Staffordshire.

They collect our hardware and securely destroy any data, guaranteeing that none of it ends up in a landfill. Stone Group is a "Zero Waste to Landfill" certified company and has many accreditations such as Cyber Essentials, EcoVadis 2023 Silver Medal, and ADISA Accredited Distinction.

With these new measures in place, we hope to:

  • Drastically decrease the amount of electronic waste the University produces
  • Reduce our carbon emissions
  • Dispose of waste in a more sustainable way.

We are also running an amnesty on old or unused equipment. If you have any unusable equipment, you can have it collected for recycling or reusing by using the form "Return or reassign IT equipment".

Know more about Waste Electrical and Electronic Equipment (WEEE)

The acronym WEEE stands for Waste Electrical and Electronic Equipment. It refers pretty much to:

  • All the all the electronic devices
  • Anything powered by a battery or plug.

Recycling of WEEE is a specific part of the waste and recycling industry.

WEEE items can be divided into 10 categories:

  1. Large household appliances (for example fridges)
  2. Small household appliances (for example microwaves)
  3. IT and telecommunication equipment (such as computers)
  4. Consumer equipment (for example TVs)
  5. Lighting (such as fluorescent tubes)
  6. Electric tools (for example drills)
  7. Toys, leisure, and sports equipment (for example game consoles)
  8. Medical devices (for example cardiology equipment)
  9. Monitoring and control equipment (such as thermostats)
  10. Automatic dispensers (for example hot drink machines)
