Adding a guest to a team in Microsoft Teams

This article explains how to add a guest to a team in Microsoft Teams from the desktop application and from mobile.

Before starting, please remember that:

  • Guests are people not part of the University of Southampton (UoS) organisation.
  • The person you are inviting needs to have a work or school Teams account in Microsoft 365
  • Guests are not allowed to use all the functionalities available for UoS members. If you need more details, read the Microsoft article "Guest experience in Microsoft Teams - Microsoft Teams | Microsoft Learn".

Adding an external user from web and desktop applications

1. Open Teams

2. Select the Teams icon located on the sidebar

3. From the list of teams, select the team you want to add the user to

4. Select the "" icon (also called More options icon)

5. Select Add member from the options available

6. Enter the email address of your guest.

7. Add your guest’s name

8. Select the Add button

Your guest will receive a welcome email from Microsoft Teams.

This email contains:

  • The name of the team (for example "KB test group", as shown in the example below)
  • A direct link to open Teams
  • Other useful information

Teams' welcome email

Please note: it might take a while for guests to show up in your member list.

Adding an external user from your mobile

1. Open Teams

2. Tap on the Teams icon

3. Select the team you want to add your guest to.

4. Tap the More options icon (the dots in column)

5. Tap Manage members from the options available

6. Tap the + button

7. Enter the email address of your guest

8. Tap the Check icon located on the top-right corner of the screen

Your guest will receive a welcome email from Microsoft Teams.

This email contains:

  • The name of the team (for example "KB test group", as shown in the example below)
  • A direct link to open Teams
  • Other useful information
