GraphPad Prism – How to buy a licence

This guide explains how to register, get a quote, and purchase a GraphPad Prism licence through the Academia portal. Each step includes screenshots to help you follow the process easily.

Overview

GraphPad Prism licences are available in two types for University of Southampton users:

  1. Academic licence
  2. Student licence

Academic licence

Eligibility

Available to University staff and students who are eligible for university-funded licences as part of their studies.

Cost

The annual renewal cost is approximately £250 and it's charged on a pro-rata basis for the remainder of the University’s annual contract.

Please note:

  • Students may need support from their departmental administrator to raise a Purchase Order and place the order.
  • Academia will manage licence allocation and renewals and will contact users directly when it’s time to renew.

Student Licence

Eligibility

Available to students purchasing directly from Graphpad’s website using a personal credit card. Proof of student status is required.

Cost

The licence is valid for up to 12 months and paid directly to GraphPad using a personal credit card.

Please note:

  • These licences are personal and cannot be funded by the University.
  • They do not support collaboration features, so students should consider their project needs before purchasing.

Account creation 

Follow these steps to create an account in the academia portal:

  1. Open the academia page:
    ""

  2. Go to the Software drop-down menu.
  3. Select the Graphpad option:

    ""
  4. On the Graphpad page, select the register option:

    ""
    Please note: This is the one-time step to be completed as a first-time user. If you have registered already, please go directly to the order placement option.
  5. The Create New Customer Account page opens, where you have to provide your details for the following fields:
    1. Your personal information:
      • First Name
      • Last Name
        ""
    2. Sign-in information:
      •  Email
      •  Password
      • Confirm password
        ""
        Fill in the required fields marked with an asterisk (*)
  6. Select the Create Account option once completed.
  7. When your account is created, the following prompt will appear as shown below:

  8. An email will be sent to your inbox to complete your registration.
  9. Select the confirm account option to validate the email address and activate the account:

  10. On successful completion of the account activation, you will receive an email as shown below:

Order placing

Follow the step-by-step procedure to place your order.

Step 1 – Home Page

  1. Select the Software option.
  2. From the drop-down list, select GraphPad:
    ""
  3. Select Login:
    ""
  4. The Customer Login screen comes up next:
    1. Enter your login credentials (University username, for example: ab1c25@soton.ac.uk) and password in the designated fields
    2. Select the Sign-in button
      ""
  5. The My account page will open:
    ""

Step 2 – Add to Quote

  1. Select the software option at the top.
  2. From the drop-down list, select Graphpad.
  3. Select Add to Quote option:
    ""
  1. A prompt will appear on the screen stating 'You added GraphPad Prism user license – Pro-Rate Subscription 31st August 2026 to your quote', and an orange box with a number 1 will appear in the Basket icon:

Step 3 – Basket Icon

  1. Select the Basket icon in the top right corner.
  2. Select View and Edit Quote Request when prompted:
    ""
  1. The quote page will be displayed, where you must review the displayed information and select the Submit Quote Request option if you confirm your decision to continue:

  1. The following page will be displayed, confirming the quote request has been submitted:
    ""

Step 4 – Order confirmation

  1. You will receive an email confirmation upon successful request of the quote.
  2. The email will also include a PDF version of the quote:

Please note: The PDF must be saved as it will be required to raise a Purchase order.

Step 5 – Purchase order

  1. Use the PDF file of the quote to raise a Purchase order via your financial process. If you are not sure, speak with your budget holder or accountant.
  2. When the Purchase order is approved, log in to Academia.
  3. Go to the Software drop-down option:
    1. Select the Graphpad.
    2. select add to cart option:

      ""
  1. In the next screen, a prompt will be displayed, which states that 'You added Graphpad Prism Named user license – Pro – Rate subscription 31st August 2026 to your shopping cart'.
  2. The Basket Icon will display number 1, which means one item has been added to the cart:

Step 6 – Processing the order

  1. Select the Basket icon.
  2. The Shipping address page will be displayed, where you must enter all the required fields marked with an asterisk (*), as given below:
    • Customer Order Reference / Purchase Order Number.
    • First Name
    • Last Name
    • Street Address
    • Country
    • City
    • Zip/Postal Code
    • Phone Number

      ""
  1. Enter your Purchase Order (PO) number.
    1. The PO number always starts with the number 6 and will be 8 digits long.
    2. If the PO format is incorrect, the supplier will reject the order.
  1. In the Address section, use the main University of Southampton address:
        University Road, Southampton, SO17 1BL.
  2. In the phone number field, enter N/A.
  3. Select the Next option.
  4. The Following page will be displayed as shown below, where you must select the Radio button having the Purchase order option:

    ""
  1. Check the box that says My billing and shipping address are the same option from the Review and Payments window:

    ""
  1. Select Choose file option and upload the Purchase order PDF file.
  2. Check the box to accept the Terms and Conditions to proceed, as this is a mandatory field.

Please Note: the Term and Conditions are pre-approved as per the University’s contract with academia. You do not need to review this.

Step 7 – Finalise the Order

  1. Select the Place Order option to complete your purchase.
  2. You will receive a confirmation email from academia once your order has been submitted successfully.
  3. Within 5 working days, academia will contact you with a link to activate your Graphpad Prism license.
