How to request toners, consumables, and paper for university-managed printers

This article explains what to do if you need to order printer toners, consumables, and paper. It also suggests the necessary forms if you need to request or relocate a managed printer.

Requesting toners and consumables

Use the Printer toners and consumables request to request:

  • Toner cartridges
  • Drum units
  • Imaging units
  • Other consumables (such as waste toner boxes and staples).

Important notes

  • Please use the form only if you urgently require replacement consumables.
    Every device is linked to a system that automatically orders the required items when the printer's toner / consumables are close to being empty or full.
    Ordering those items before the correct time (unless urgently necessary) will incur additional expenses to the university and create delivery and automated ordering issues.
  • Toners not in Common Learning Spaces (CLS) are replaced locally.
    If you are not sure who is in charge of that in your area, please contact your School Office.

How to find out the Printer Number (PR-ID)

Before submitting your request, you will need to enter the Printer Number. You will find it on a “Apogee” sticker attached to every managed printer.

The Printer Number starts with PR-ID, as in the example below (PR-ID293486):

If the Printer number (PR-ID) is not on the printer or cannot be found when completing this form, please raise a generic IT enquiry.

Once you submit the form, you will receive three emails:

  1. One to state that the request has been created
  2. A second that shows to whom it has been assigned
  3. A final message letting you know that the request has been fulfilled.

Requesting paper

Faculties and Departments are responsible for ordering their own standard stationery and printer paper from University approved suppliers.

Further information about purchasing can be provided by the Procurement team (email: buy@soton.ac.uk).

Please note: papers not in Common Learning Spaces (CLS) are replaced locally. If you are not sure who is in charge of that in your area, please contact your School Office.

Recommendations

We recommend ordering a mid-range price point 80 gsm paper as minimum:

Stack of A4 multi-purpose 80 gsm copier paper

Please note: using 60/70 gsm paper can create issues during the printing process.

Reporting a fault
