Adding a calendar or a shared calendar to Outlook

This article guides you on adding a colleague’s calendar or a shared calendar to your list in Outlook. It explains also how to delete one calendar from your list.

Adding a calendar using Outlook desktop client

Adding a colleague’s calendar

1. Open Outlook application

2. Select the calendar icon

3. From the Home menu bar, select the icon “Add calendar

4. From the drop-down menu, select the option “From Address Book

5. Enter the name into the search field and press the arrow (or Enter)

6. Double-click on the contact you would like to add. The contact selected will appear into the field next to the button “Calendar”

7. Select the button OK

8. The calendar will appear under the section “Shared calendars”. Tick the appropriate calendars you would like to view in your window" or along these lines.

Adding a shared calendar

1. Open Outlook application

2. Select the calendar icon

3. From the Home menu bar, select the icon “Add calendar

4. From the drop-down menu, select the option “Open shared Calendar

5. Select the button “Name…” to start browsing the list

6. Enter the team’s name into the search field and press the arrow (or Enter)

7. Select the contact you would like to add

8. Select the button OK

9. The name of the calendar will appear within the Name field

10. Select the button OK

11. The calendar will appear under the section “Shared calendars”. Tick the appropriate calendars you would like to view in your window" or along these lines.

Adding a calendar within Outlook on the web (OWA)

The following instructions allow you to add both a personal calendar and a group / shared calendar to your lists.

Step-by-step instructions:

1. Open the browser version of Outlook

2. Select the Calendar icon ""

3. Select the option "Add from directory"

4. Select the account to search from

5. Enter the name of the person, group or resource from the University

6. From the drop-down menu, select the recipient

7. Select the button Add

8. The calendar will then appear within the recipient folder. Tick the appropriate calendars you would like to view in your window" or along these lines.

How to view multiple calendars at the same time

Deleting a calendar from your lists

From Outlook desktop client

1. Open Outlook application

2. Right-click on the calendar you want to delete

3. Select the option "Delete calendar"

4. The calendar will automatically disappear from your list.

 

From Outlook on the web (OWA)

1. Open the browser version of Outlook

2. Select the Calendar icon ""

3. Select the More option icon close to the calendar’s name  ""

4. Select the option "Remove"

5. The calendar will automatically disappear from your list.

Troubleshooting

Sharing option is not available

Issue: The sharing option is missing in Outlook on the web or does not work for outside people.

Reason: Calendar sharing is disabled or limited to people within the University. Please contact iSolutions for more information.

Shared Internet calendar does not show events

Issue: You have added a calendar published on the web and are sure the URL is correct, but no details are displayed.

Fix: Remove the calendar, change the protocol from http to https, and then add the calendar again.
