Audio Codes C455HD IP Phone - User guide

This article is a quick user guide about the Audio Codes 455HD IP phones. 

The article gives an overview of the phone and guides you on doing the following actions:

  • Place a call
  • Answer a call
  • End a call
  • Hold or resume a call
  • Transfer a call
  • Check the voicemail 
  • Add and manage speed dial keys

The images published across the articles come from the supplier’s manual.

Please note that these handsets are only issued by exception and a business case will need to be submitted to support the request.   

Overview of the Audio Codes 405HD IP

The AudioCodes C455HD is a high-end IP phone with native Microsoft Teams executive Internet Protocol (IP) phone with a touch screen, integrated Bluetooth, and Wi-Fi.

It includes many features, such as:

  • Full duplex speakerphone and headset connectivity
  • Graphical 5” colour capacitive touch screen (1280 X 720 resolution)
  • Multi-lingual support
  • USB port for USB headset
  • Integrated Bluetooth and Wi-Fi

Device’s functions

Front

Item Label / name Description
01 Ring LED Indicates phone status:
  • Green: Idle state
  • Flashing red: Incoming call (ringing)
  • Red: Answered call.
02 TFT touch screen Thin Film Transistor touch screen, a type of LCD (Liquid Crystal Display) interactive screen which displays calling information and lets you configure phone features by touching the glass.
03 Navigation Control / OK
  • Press the button's upper rim to scroll up menus/items
  • Press the button's lower rim to scroll down
  • Press the button's left or right rim to move the cursor left or right (when editing a contact number for example)
  • Press OK to select a menu/item/option.
04 Voicemail Retrieves voicemail messages.
05 CONTACTS Accesses the People screen.
06 MENU Accesses the Settings screen.
07 AC AC key – for future use – currently used as home key. Returns you to the home (idle) screen from any screen.
08 Kensington lock Allows locking the device.
09 TRANSFER Transfers a call.
10 HOLD Places an active call on hold.
11 Alphanumerical Keypad

Keys for entering numbers, alphabetical letters and symbols (for example, colons).

12 Microphone Allows talking and listening. The network administrator can disable it if required.
13 Speaker Activates the speaker, allowing a hands-free conversation.
14 Headset Activates a call using an external headset.
15 Mute Mutes a call.
16 VOL ▲ (UP) - VOL ▼ (DOWN) Increases or decreases the volume of the handset, headset, speaker, ring tone and call progress tones.
17 'Back key' Returns you to the previous screen.

01 Handset icon Handset jack (for example: port RJ-9, to connect the handset).
02 Ethernet LAN icon RJ-45 port to connect to the Ethernet LAN cable for the LAN connection (uplink - 10/100/1000 Mbps). If you're using Power over Ethernet (PoE), power to the phone is supplied from the Ethernet cable (draws power from either a spare line or a signal line).
03 Icon of a port the phone to a PC RJ-45 port to connect the phone to a PC (10/100/1000 Mbps downlink).
04 Power jack icon 12V DC power jack that connects to the AC power adapter.
05 Headset icon Headset jack (for example: RJ-9 port that connects to an external headset).

Quick user guide

Making a Call

Calls can be made in multiple ways through:

  • The dial pad: digit keys on the phone’s dial pad to enter the phone number or URL
  • The Calls screen, from your favourites or recent contacts:
    1. Open the Calls screen by tapping the Calls icon in the home
    2. Select a call listed in the Calls screen
    3. Touch the handset icon Handset icon .
  • The Calls screen, by using the button Handset+ icon:
    1. Open the Calls screen by tapping the Calls icon in the home
    2. Touch the button Handset+ icon on the Calls screen. 
    3. Once allows you to make a call by entering the name of a contact:
      ""
      You need to touch the ‘To: Search for people' field to launch the soft keyboard.
    4. Touch the handset icon Handset icon.

After dialling a destination number, the phone displays the Calling screen while playing a ring-back tone.

To toggle between mute and unmute

  • Touch the microphone key (key 15) on the dial pad or the microphone icon on the screen to mute your microphone. 
  • Touch the microphone key or icon again to revert.

Notes:

  • During a call, you can mute the microphone of the handset, headset, or speaker so that the other party cannot hear you. 
  • While the call is muted you can still hear the other party.
  • Muting calls can also be used during conference calls.

To toggle between the device and the speaker

  • Touch the speaker key (key 13) on the dial pad or the speaker icon on the screen to mute your speakers. 
  • Touch the speaker key or icon again to revert.

To end a call before it's answered at the other end

Touch the red handset icon "" on the screen.

To dial a URL

  1. Press the speaker key or lift the handset 
  2. Touch the ‘Place call’ field
  3. Enter a URL address. To delete (from right to left), touch the clear key.

Dialling a Missed Call

The phone logs all missed calls.

When the screen is inactive, it will display the number of missed calls near the Calls softkey.

To dial a missed call:

  1. Select the Calls icon softkey 
  2. From the Calls screen, navigate to the missed call to dial if there is more than one listed.
  3. Select the handset icon Handset icon next to the missed call.

Select to Dial

Through the phone screen, you can dial directly:

  • all phone numbers that are part of meeting invites 
  • user contact cards.

Answering Calls

The phone indicates an incoming call by ringing and displaying that Caller X is calling you

The LED located in the upper right corner of the phone flashes red – that means that there is an incoming call.

You can answer a call in 4 different ways:

  1. Picking up the handset 
  2. Activating the headset key on the phone - make sure the headset is connected to the phone
  3. Activating the speaker key on the phone
  4. Selecting the Accept softkey (the speaker is automatically activated).

Managing Calls

You can view a history of missed, received, and dialled calls.

To manage calls:

  1. Select the Calls icon
  2. In the Calls screen, select Recent:
  3. Calls are listed from newest to oldest.
  4. Missed call indicates a call that was not answered.
  5. Incoming and outgoing calls are differentiated by their icon.

If you want to call someone back from the Recent list of calls: 

  1. Select a call in the list 
  2. Select the handset icon Handset icon

Parking a Call

Overview

The phone allows a user to park a call.

By parking a call, you transfer a call to a "parking lot". This call can be picked up on any other phone by a colleague. To retrieve the call, the colleague must enter a code.

How to park a call

1. Put the call on hold

2. Park your call by touching the parking iconHandset icon with a superscript P located in the upper-right corner of the screen

3. You will receive a unique code from the Teams application

4. Communicate the code to another user (called “user B” until the end of this section) who can pick up the call on their device

5. User B does the following actions to pick up the call:

  1. Select the call park icon Handset icon with a superscript P displayed on their device’s Calls screen.
  2. Enter the code communicated to them 
  3. Select the Pick up button to pick up the call

Managing Teams Meetings

You can create and run Teams meetings through the C445 HD phone as follows:

1. From the main screen, select the Calendar softkey.

2. Touch the + icon.

3. A new screen will appear. This screen duplicates everything you can see when you start creating a meeting in Teams.

From the top to the bottom, you will see the following fields or options:

  • Event name
  • Add participants
  • Your account icon (as you are the organiser)
  • All-day locker option
  • Starting date and time
  • End date and time
  • Repeat
  • Location
  • Show as
  • Description

4. Touch the 'Title' field. Use the soft keyboard that launches to enter a title for the meeting.

5. Touch Add participants.

6. Touch the ‘To’ field and then use the soft keyboard to enter the names of the participants. The names will be promoted to the top of the list of entries displayed.

7. Touch the tick icon to confirm the list of participants

8. Set up the starting and ending dates and times

9. Set up the location, if necessary

10. Add a description, if necessary

11. Touch the tick icon on the top-right corner to save the meeting

The scheduled meeting will appear on the screen

Transferring a call or a meeting

Transferring a call

1. During a call, press the Transfer icon or the Transfer button on your dial (key 9

2. Choose one of the following options:

  • Transfer now
  • Consult first

3. Select the desired contact by doing one of the following actions:

  • Look for your contact
  • Type the phone number into the "To:" field
  • Type the name of your contact into the "To:" field

""

4. Depending on the option you have chosen, there will be the following scenarios:

  • If you have selected Transfer now, the call will be transferred when your contact answers the call.
  • If you have selected Consult first:
    1. Tap the handset icon Handset icon to contact the final users and know whether they are available or not 
    2. Tap the transfer icon Transfer icon beside the contact after the final user answers the call.
      In case you need to resume or take back the call, tap the play icon "" located on the top-right of the screen

Important note: when you are transferring a call, please do not use the AC key to look for a new user. By selecting the AC key you will start a new call and will not be able to transfer the original call.  

 

Transferring a meeting call

Please do not recommend transferring meeting calls because not all phones support this option available.

 

Transferring a call to Frequent Contacts

To transfer your calls efficiently to frequent contacts, the phone presents frequent contacts in the transfer screen for a single operation transfer.

Contacts not shown in the list can be searched for by using the search bar.


Transferring a Call to Work Voicemail

Users can directly transfer a call to someone’s work voicemail without needing to ring the far-end user:

Voicemail

Accessing Voicemail

1. From the phone's home screen, select the Voicemail tab.

2. The messages left in your voicemail will appear on the left side of the screen:

Transferring a Call to Work Voicemail

You can directly transfer a call to someone’s work voicemail as follows:

  1. Select the Transfer softkey
  2. Select the More options icon (three dots in column)
  3. Select the Work voicemail option

Viewing and Playing Voicemail Messages

If you hear a stuttering dial tone when you pick up the handset, new messages are in your voicemail box. The phone also provides a visual indication of voicemail messages.

 

Viewing a list of your voicemail messages

Activate the voicemail key on the phone (indicated by the icon of an envelope) which will be illuminated if you have voicemail, or select the Voicemail softkey in the idle screen.

Scroll down to select from the list of messages (if there are voicemail messages in your box) which message to Play, Call or Delete.

You'll view the following screen if you don't yet have any voicemail messages: For more information, see here.

Rejecting an Incoming Call, Sending it Directly to Voicemail

You can send an incoming call directly to voicemail if time constraints (for example) prevent you from answering it. The caller hears a busy tone from your phone.

To send an incoming call directly to voicemail:

When the phone rings to alert to a call,  select the red handset icon ""; if you have voicemail, the call will go into voicemail; the Microsoft Teams server performs this functionality.

Speed Dial contacts

Adding a speed dial

You can add a speed dial from Teams and / or from the C455 HD phone.

To add a speed dial from Teams, follow the article How to use Microsoft Softphones – section Speed dial contacts.

You can add a speed dial contact from the C455HD phone following 2 ways:

Way 1 – Create a speed dial from the Calls list

1. Touch the Calls icon on the screen

2. Select the Recent tab

3. Select a user

4. Select the "star" icon to add them to the speed dial list

Your contact will appear under the Favourites tab in the section Speed dial.

 

Way 2 - Create a speed dial from the People list

1. Touch the Calls icon on the screen

2. Touch the + rounded button

3. Select the option Add from directory

""

4. Enter the name of your contact or select it from the list available

5. From the new screen, select the option Speed dial

6. Select the tick icon on the top-right corner to confirm your choice

""

 

Deleting a Speed dial

You can add a speed dial contact from the C455HD phone following 2 ways:

Way 1 – Create a speed dial from the Calls list

1. Touch the Calls icon on the screen

2. Select the Recent tab

3. Select the user

4. Touch the "star" icon to delete them from the speed dial list. 

 

Way 2 - Create a speed dial from the People list

1. Touch the Calls icon on the screen

2. Touch the Favourites tab

3. Touch the > Speed dial label.

4. From the contact you want to update, touch the More options icon (three dots in column)

5. Select the option Remove speed dial

Using Audio Devices

Use one of the following audio devices on the phone for speaking and listening:

Handset: To make a call or answer a call, lift the handset off the cradle.

Speaker (hands-free mode):

  • To activate it, press the speaker key during a call or when making a call.
  • To deactivate it, press the speaker key again.

Headset (hands-free mode). When talking on the phone, you can relay audio to a connected headset:

  • To enable it, press the headset key.
  • To disable it, press it again.

You can easily change audio devices during a call.

To change from speaker/headset to handset: 

  • Activate speaker/headset 
  • Pick up the handset; the speaker/headset is automatically disabled.

To change from handset to speaker/headset:

  • Off-hook the handset and press the speaker/headset key to activate the speaker/headset.
  • Return the handset to the cradle; the speaker/headset remains activated.

How to visualise and add contacts

Visualising contacts

You can visualise your contacts by pressing:

  • the button Contacts (key 5
    or
  • the People icon on the touchscreen.

The new screen will show all contacts. By touching the tab All contacts V, you will see the following options:

  • All contacts
  • Speed dial
  • Favourites
  • Other contacts
  • Tagged

You can change this setting to see only your speed dial list when you click on the People button. How to change it:

  • Touch the People icon on the home screen
  • Touch on the little arrow next to All Contacts
  • Select Speed Dial

You can come back to All contacts or change the view any time you want.
