How to show your content on the screens in rooms 2063 and 2065 at the Sir James Matthews building

This article explains how to show your content on the screens available in rooms 2063 and 2065 at the Sir James Matthews building.

This article also explains how to activate the Room Link function, how to turn off the system, and how to fix common issues by using the console linked to room 2063.

Overview of the rooms 2063 and 2065

Use the room 2063’s door to enter into the big room.

Keeping the entrance behind you, you will see:

  • 2 desks with the room consoles. The right console to share your content on the screen is the one on the left
  • 6 tables with seats
  • 4 big screens around the room. You will see them on your left, on the right, and behind you

Overview of the console linked to room 2063

What you will find on the desk

Looking at the desk’s console, you will find:

1. The Video Overhead Projector (also called Vid OHP)

2. The touch-screen console. Behind or below it, there will be USB-C and HDMI extension cables

3. A Common Learning Space (CLS) computer with keyboard and mouse already connected

Touch-screen console’s functions

Before having access to the main controls, the touch-screen console shows the following element on a white background:

  • At the top, the sentence "Touch here for main controls"
  • The University of Southampton logo
  • Building number (135)
  • Room number (2063)
  • The date
  • A note about the lighting ("Please use lighting controls on the wall")
  • The current time

After touching the screen, the console will show its commands and buttons.

  • At the top, you will see the list of sources available, the button "Finish" and the one to access "Safety information". The main sources are:
    • PC: this option refers to the CLS computer on the right of the desk
    • Laptop: this option refers to your laptop
    • Vid OHP: this option refers to the slide projector on the left of the desk
    • Wi-Fi connection - this button is not active at present
  • On the left, the buttons "Display mute" and the "Room link". Use the button "Room link" to activate the screens around the room
  • On the right side of the screen: 
    • The button "Help?"
    • The volume’s commands (volume up, down, and mute) 
  • At the bottom of the screen there will be a note about the lighting ("Please use lighting controls on the wall")

How to display your content on all monitors around the room from r2063’s console

From your laptop

  1. Connect your laptop to the console using the USB-C or the HDMI extension. You will find those cables on the desk, usually behind the screen’s console.
  2. Tap on the touch-screen’s white background to turn on the console
  3. The console’s command will appear
  4. Tap on the button "Laptop"
  5. Select the source between "USB-C" and "HDMI" by pressing the related button
  6. Tap on the button "Room link"
  7. Confirm your choice by pressing the green button "Yes, turn the link on"
    Your desktop will be displayed on each screen of the room.

From the CLS pc in the room

  1. Log in to the CLS computer as follows:
    1. Press the button "Enter" on the keyboard
    2. Type your university username followed by @soton.ac.uk (for example "ab1c23@soton.ac.uk")
    3. Type your university password
    4. Press the button "Enter"
  2. You should now see the Common Learning Space environment
  3. Move to the console
  4. Tap on the touch-screen’s white background to turn on the console
  5. The console’s command will appear
  6. Tap on the button "PC"
  7. Tap on the button "Room link"
  8. Confirm your choice by pressing the green button "Yes, turn the link on".
    Your desktop will be displayed on each screen of the room.
  9. At the end of your lecture / event, remember to log off from your account on the PC

From the Vid OHP projector

  1. Tap on the touch-screen’s white background to turn on the console
  2. The console’s command will appear
  3. Tap on the button "Vid-OHP"
  4. Turn up the projector
  5. Tap on the button "Room link"
  6. Confirm your choice by pressing the green button "Yes, turn the link on"
    Everything on the whiteboard will be displayed on each screen of the room.
  7. At the end of your lecture / event, please remember to turn down the Vid-OHP projector

How to turn off the system

At the end of your lecture / event, please:

1. Tap the button "Finish" located at the top-right corner of the touch-screen.

2. Confirm your choice by tapping on the red button "Yes, turn off"

After a few seconds, the touch-screen will show the starting screen with a white background.

Troubleshooting

Screens turning off during a lecture or event

If during your seminar \ event the screens turn off:

  1. Tap on the button "Finish" in the top-right corner of the screen 
  2. Select "Yes, turn off"
  3. Wait 10 seconds
  4. Turn the touch system back on 
  5. Select the device you want to display on the screen.

Screens do not turn off at the end of the lecture or event

If at the end of your session the touch panel and screens will not turn off, please:

  1. Select one of the input devices 
  2. Select the button "Finish"

The screens should turn off and the touch panel return to the information screen.

No sound coming from the screens

If there is no sound coming from the screens when playing videos, please:

  1. Make sure that the PC is not muted on the touch panel 
  2. Control whether the volume level is too low

The speakers in the ceiling only carry sound from the microphones, the sound from the bench PC or your laptop will play from the TV screens.
