Audio Codes 405HD IP Phone - User guide

This article is a quick user guide about the Audio Codes 405HD IP phones installed all around the university.

The article gives an overview of the phone and guides you on doing the following actions:

  • place a call
  • answer a call 
  • end a call
  • hold or resume a call
  • transfer a call
  • check the voicemail 
  • Add and manage speed dial keys

The images published across the articles come from the supplier’s manual.

Please note:

  • Settings on Lab Phones, Common Learning Spaces and Common Area (courtesy) phones should not be changed

Overview of the Audio Codes 405HD IP

The 405HD is an IP phone designed to offer high quality IP phones calls and end-to-end Voice over Internet Protocol (VoIP) solutions.
It includes the many features, such as:

  • Softkeys for Voicemail and volume controls
  • Duplex speakerphone and headset connectivity
  • Backlit LCD

Where you can find the Audio Codes 405HD IP

  • Courtesy phones in foyers of all buildings for anyone to use
  • Labs, teaching spaces, kitchens, workshops
  • Busy reception areas or a staff desk phone where they can't use PCs or laptops to use Softphone - such as the ones we are placing in the offices of Residences who take calls relating to Halls of Residence will need the basics plus voicemail and speed dial/contacts.

Please note: we are installing these phones throughout the university but only a few of the teams using them will need detailed (printed) instructions.

Device’s functions

Item Label / name Description
01 LCD Liquid Crystal Display - interactive screen displaying calling information, enabling you to set up phone features.
02 Ring LCD Flashing green light indicates an incoming call. Steady green light indicates that there is voicemail.
03 Softkeys Use them to select one of the options displayed.
04 MENU Access different menus. Please do not change the settings.
05 Navigation Control / OK Press the upper rim to scroll up menus/items in the LCD display screen. Press its lower rim to scroll down. Press its left or right rim to move the cursor left or right (when editing a contact number for example). Press the OK button to select a menu/item/option.
06 VOICE MAIL Retrieves voice mail messages.
07 CONTACTS Press to access the directory.
08 REDIAL Accesses recently dialed numbers.
09 HOLD Places an active call on hold.
10 HEADSET Activates a call using an external headset.
11 SPEAKER Activates the speaker, allowing a hands-free conversation.
12 MUTE Mutes a call Description
13 VOL ▲ (UP) - VOL ▼ (DOWN) Increases or decreases the volume of the handset, headset, speaker, ring tone and call progress tones.
14 Alphanumerical Keypad Keys for entering numbers, letters and symbols (for example, colons).

Quick user guide

Place a call

Place a call in one of the following ways:

  1. Lift the handset and dial the number,
    or
  2. Dial the number and then lift the handset.

Please note: users no longer need to dial 91 to get an out side line.

Answer a Call

Lift handset.

  • If you are using a headset connected to the phone, press the Headset Headset icon  button; use your individual headset instructions.
  • To use the speakerphone, press the Speaker  Speaker icon  button.

End a call

  1. To end a call, hang up.
    If you are using a headset connected to the phone, press the Headset button Headset icon or the End soft key.
  2. To end a speakerphone call, press the Speaker button Speaker icon or the End soft key.

Hold/Resume a Call

Hold

•    While on an active call, press the Hold button.

Resume

•    While on hold, press the Resume soft key.

•    To retrieve a call on multiple lines, press the line button of the line you want to pick up.

Transfer a Call

  1. While on a call, press the BXfer soft key.
  2. Enter the “transfer to” number and press the Trans soft key to transfer the call. You will be disconnected from the call.

Access Voice Mail

  1. Press the Voice mail icon (Voice Mail) button on your phone.
  2. Follow the prompts.

View Missed Calls

  1. Press the Missed soft key on your phone.
  2. Use the Up / Down arrows to scroll through your missed calls.
  3. To return the call, highlight the user you wish to call and press the Dial soft key.

Speed dial keys

You can define up to nine speed dial keys. A speed dial key can be key 1-9 on the phone which, when long-pressed, automatically dials the

phone number of the contact to whom you assigned the speed dial key.

 

Configuring a speed dial key

1. Choose a key on the phone (1-9) for your Speed Dial:

  1. Open the Speed dial keys screen from:
    1. MENU key
    2. Keys Configuration
    3. Speed dial keys

      """"
  2. Navigate to an empty speed dial that has not yet been configured:

    ""

  3. Press the Select softkey; the Speed Dial #1 screen (in the example below) is displayed:

    ""

2. Define a phone number:

  • User-defined number: In the ‘Type Number’ field, enter the phone number to which to assign the speed dial key. If the contact is configured in the directory, their name will display as you enter the last digit of their number.

    Press the Save softkey; the new Speed Dial is created and shown in the Speed Dial screen:

    or
  • Select from Directory: Instead of entering the phone number in the 'Type Number' field, navigate down and select Select from:
    1. Directory
    2. Personal directory
    3. Then navigate to the defined contact in the directory:

      "" > "" > ""

3. Select the contact and then press the Save softkey; the new speed dial key is created and shown in the Speed Dial screen.

 

Editing a Speed Dial

You can edit a speed dial as follows:

  1. Access the Speed Dial screen:
    1. MENU key
    2. Keys Configuration
    3. Speed dial keys.
  2. Navigate down to the speed dial key to edit and press the Select softkey.
    3. Edit as required. Press the Clear softkey to delete digits from right to left.
    4. Press the Save softkey to save your settings.

 

Deleting a Speed Dial

You can delete a speed dial as follows:

  1. Access the Speed Dial screen:
    1. MENU key
    2. Keys Configuration
    3. Speed dial keys.
  2. Navigate down to the speed dial to delete and press the Select softkey.
  3. In the ‘Type Number’ field, delete the entire number by pressing the Clear softkey.
  4. Press the Save softkey; the Speed Dial is now shown as 'Empty' in the Speed Dial screen.
