Microsoft Teams - How to record and transcribe a phone call

This article explains how to record and transcribe a phone call done on Microsoft Teams from a desktop / laptop computer.

Step 1 - Record the phone call

1. Start or join the meeting on Teams

2. Select the More icon

3. To start recording:

  1. Select the option Record and transcribe
  2. Select Start recording
    ""

Please note:

  • At the moment, you cannot turn on the option "Start transcription" when doing a phone call 
  • Everyone in the meeting will be notified that recording and transcription have started. Users will hear a voice notification and a pop up banner

Turning on live captions

If needed, you can turn on live captions on Teams as follows:

1. Select the More icon

2. Select Language and speech

3. Select Turn on live captions

Live captions will appear at the bottom of your Teams window.

Step 2 - Find your recording

Your recording will be saved in Microsoft Stream. Find it as follows:

1. Open Microsoft 365 web access

2. Open the App launcher located in the top-left corner of the browser

3. Select Stream from the apps available

4. Your recording will appear a video recording file called "Call with (phone number)"

Step 3 - Generate the transcript

1. Find your recording in Microsoft Stream

2. Select your file. The recording will automatically start playing

3. From the right sidebar, select the Video recording icon

4. Open the Transcript and captions tab

5. Generate your transcript by selecting the button Generate

6. Select the language. Stream will show a progress bar and tell you the time remaining.

Once finished, you will see the Transcript button in the sidebar.

Transcript icon

Select it to:

  • See the transcript
  • Download the transcript as .docx or .vtt file

You can also download your transcript as follows:

  1. Open the Transcript and captions tab
  2. Right-click the Options icon (three dots) close to the language previously chosen
  3. Select Download
  4. Select the format (.docx or .vtt)
