This articles gives an overview of the license allocation and lists the main features of the A5 and A1 licenses.
Overview of license allocation
Microsoft 365 Education - A5 licenses
The vast majority of staff and students will be automatically allocated an A5 licence.
Staff and students can use both the web access and desktop applications on:
- Any University device
- Personal devices (up to 5 activations)
Microsoft 365 Education - A1 licenses
A1 licenses will be allocated to the following user accounts:
- Visitors
- Casual or temporary staff
- Generic
- Conference
- Staff undertaking roles that do not generally need regular access to a University PC, 365 desktop applications and the Southampton Virtual Environment (SVE).
Accounts using an A1 licence:
- Will not be able to use the desktop applications (on personal devices and University staff computers)
- Will not be able to use advanced Microsoft 365 features (such as Power BI, MS Bookings, Teams Phone System and Voice Conferencing)
There is no charge for this licence. For those accounts that were allocated an A1 licence, there will be an extra charge per user to upgrade to the A5 licence. This can be purchased for 3, 6 or 12 months. Please fill out this form to request an A5 licence.

- Full suite of cybersecurity controls including identity (but not limited to):
- Protection
- Advanced threat protection
- Compliance features
- Data loss protection

A5 license for students
This license is called Office "365 A5 Student Use Benefit" by Microsoft and is for:
- Undergraduate students (UGs)
- Postgraduate students (PGT)
- Postgraduate Researcher students (PGRs)
Features included
- Office 365 email and calendar
- Microsoft 365 desktop applications and Microsoft 365 applications for the web, including (but not limited to):
- Bookings
- Excel
- Forms
- OneDrive
- OneNote
- Outlook
- Planner
- PowerPoint
- SharePoint
- Stream
- Sway
- Teams and Teams Phone System
- Visio
- Word
- Fully licensed to log on to any University device, such as:
- Allocated staff laptops and desktops
- Common Learning Space (CLS) computers
